Mailbox Damage and Replacement Procedure

If a mailbox is damaged by Road Commission equipment during maintenance operations, the property owner may receive a new standard mailbox and/or post as a replacement. This document provides guidance on the procedures to follow when mailboxes are damaged during maintenance operations.
- The mailbox and/or post must be physically struck by Road Commission equipment. Damage caused by snow or ice discharged from a plow blade does not qualify for replacement.
- Damage resulting from lack of maintenance of the mailbox and/or post does not qualify for replacement.
- Previously existing ornate or decorative mailboxes or posts will be replaced only with a standard mailbox and/or post approved by the United States Postal Service.
The property owner is responsible for removing the damaged mailbox and/or post and installing the replacement using installation standards approved by the United States Postal Service and the Mason County Road Commission. Standard mailboxes and posts may be picked up at 510 East State Street, Scottville, MI 49454. The office is open Monday through Friday, excluding holidays or observed holidays established by the Board. Pickup hours are between 7:30 a.m. and 3:30 p.m.
The property owner must provide the damaged mailbox and/or post for inspection before a replacement can be issued. Upon receipt of a replacement mailbox and/or post, the property owner is required to sign a register and provide the property address.
Road agencies are not legally required or obligated by statute to repair, replace, or compensate owners of private mailboxes located within the public road right-of-way. However, the Mason County Road Commission recognizes the inconvenience this may cause and has adopted this mailbox damage policy.
